ELEKta Integrates existing tools to gain clarity and control over IT assets

Challenge: Global leader in precision radiation medicine, Elekta wanted to manage a company firmware upgrade to equip employees with the latest IT capabilities. With users’ laptops and desktops in Europe, Asia and the Americas, and the pandemic adding to complexity, the team was concerned about the logistics and costs involved in building an accurate inventory, identifying the hardware for replacement, and creating a command and control center to deliver the global upgrade.

The firm partnered with a local service provider and evaluated multiple command and control centers, but realized the options of those solutions for managing programs of this magnitude were limited.

Solution: They opted to pilot ReadyWorks, following a recommendation from a local service provider. On day two they said, “we now have greater visibility into our environment than ever before.”

Elekta benefitted from a ReadyWorks command and control center that enabled:

• 25% reduction in labor required for desktop refresh and upgrade.
• Application Rationalization, with application list reduced from 50,000 to 1,300.
• Automated command and control to manage the upgrade process.
• Greater visibility of the entire desktop environment.

ReadyWorks enabled this through:

• System Integration: ReadyWorks connected to Elekta’s systems and data repositories including Microsoft SCCM, ServiceNow, local spreadsheets and a home-grown asset inventory system, to access data and capabilities.
• Data Intelligence: Leveraging a clear profile of the hardware environment, the team created a budget and schedule to replace end of life (EoL) equipment and identify candidates for app rationalization. ReadyWorks command and control was used to manage readiness analysis.
• Orchestration & Automation: As well as readiness analysis, ReadyWorks command and control was used for scheduling across geography and time zones, all user communications, and reporting, including hardware health reports.

The organization estimated they saved 20% on labor during the upgrade.
